Shop Owner Edition, customer texts, and POS refunds

A self-hosted edition for PC Repair Tracker shops, text updates that follow each customer's preference, pickup reminders you control, POS refunds, and the new RepairOps logo.

Shop Owner Edition

A self-hosted edition of RepairOps for PC Repair Tracker shops that want to run on their own server.

  • Runs on a 4-core, 8 GB server. The installer checks your server before anything is set up.
  • RepairOps release images are signed.
  • The app checks that email works before it starts, then emails your login code.
  • If your update plan lapses, your install keeps running on the version you have.
  • The PC Repair Tracker importer comes with settings presets and a board that follows PCRT's statuses.

Customer messages

  • Customers can get a text when a quote is sent, when their device is ready for pickup, and as a pickup reminder. The shop's settings and each customer's preference decide the channel. Texts go through a Twilio account you connect.
  • Pickup reminders can be turned on per shop in Settings → Customer Messages. By default they go out 3, 5, 7, and 14 days after a repair is ready.

Point of sale (Pro)

  • Owners and managers can refund a sale, with a reason. A refund can't be more than what was paid, and restocking the items is optional.
  • Card refunds are recorded in RepairOps. They aren't sent to the card terminal.
  • The POS report now subtracts refunds, and expected cash at close no longer counts change twice.

New logo

  • The RepairOps logo now appears across the app, the customer portal, booking and status pages, and sign-in emails.

Fixes

  • Passkey sign-in no longer gets stuck on "Please wait…".
  • Export and backup downloads show a clear error instead of failing silently.
  • PC Repair Tracker dumps made without table definitions now import, with a warning to export again if your PCRT was upgraded.
  • The Day Report shows each transaction's refunded amount, and shop-day reports no longer start a day early.

A redesigned workspace and new ways to switch

A new look for the core app, a rebuilt PC Repair Tracker importer, a new RepairDesk importer, moving tickets between shops, and smarter AI retries.

Redesigned workspace

  • A new design for the app shell, dashboard, Kanban board, ticket page, and customer portal. More screens will follow.

Switching from PC Repair Tracker

The importer was rebuilt to bring over a whole shop's history.

  • Upload a MySQL dump (.sql or .sql.gz, up to 500 MB), or use CSV files.
  • The import runs in the background and picks up where it left off. You see a preview of record counts before anything is committed.
  • It brings over customers, devices, work orders, notes, invoices, payments, refunds, deposits, and inventory with opening stock.
  • Repeat customers are combined by name and phone, so one person isn't split across every repair. This is on by default and you can switch it off.
  • You can leave a store out of the migration.
  • Settings presets and a status board that follows PCRT's colors and order. You can also add your deps.php: a short list of settings is kept, and the rest of the file is never stored.
  • You can undo the import, including invoices, payments, and stock, until you finalize it, as long as nobody has worked on the imported records.

Photos, quotes, appointments, and message history aren't imported. The organization owner runs the import.

Switching from RepairDesk

  • A new guided importer connects with your RepairDesk API key, which is stored encrypted. Your RepairDesk plan needs API access.
  • Like the PCRT importer, you can review, resume, and undo it.
  • The importer is new. Talk to us before you plan your switch.

Multiple shops

  • Owners and managers on plans with more than one shop (Business and up) can move an open ticket to another shop.

Shop setup

  • Message templates for texts, emails, and internal notes.
  • An intake checklist for device condition and accessories.
  • Board settings: columns, colors, and what each card shows.

Appointments (Pro)

  • Customers get confirmation, reminder, reschedule, and cancellation messages by email and text. Reminders go out 24 hours and 2 hours before the appointment. Texts need an SMS plugin.

Point of sale (Pro)

  • Record cash drops during the day.
  • Count the drawer by denomination at close and print a Z-report. Two people can't close the same drawer at once.

AI

  • If intake parsing returns a low-confidence or invalid result, or note cleanup returns invalid output, RepairOps retries once on the same provider's next model tier. Owners and managers can see these retries in Settings → AI.
  • Retired model names move to their successor automatically, including in fallback chains.
  • Model lists refreshed for August 2026.

Fixes

  • Reports use the shop's local day everywhere.

Webhooks across the repair, and Z.ai for AI

June and July brought webhook events for tickets, customers, quotes, payments, and stock, device endpoints in the API, AI-generated PC builds, and Z.ai as an AI provider.

API and webhooks (Business)

  • Webhooks for 10 events: ticket.created, ticket.updated, ticket.transitioned, ticket.voided, customer.created, customer.updated, quote.approved, quote.declined, payment.received, and inventory.low_stock.
  • Every delivery is signed with HMAC-SHA256, so you can check it came from RepairOps.
  • Send a test webhook from settings.
  • New device endpoints in the REST API, so you can create a device and then open a ticket for it.

Appointment booking (Pro)

  • Set the website domains allowed to use your booking widget.

AI

  • Z.ai (GLM) joins the bring-your-own-key providers. You can now use OpenAI, Anthropic, Google, Groq, Mistral, OpenRouter, or Z.ai, and Ollama on Enterprise.
  • System Builder can generate a starting build with AI (AI Ready, AI Copilot, or Enterprise AI). If AI isn't available, you can generate from a template instead, and the build is marked "Template build".
  • Knowledge base answers stay accurate after you switch AI providers. Articles are re-indexed automatically.

Point of sale, booking, and time clock, finished

April and May filled in the day-to-day: a complete POS, onsite booking, time clock rules, quote revisions, parts purchasing, passkeys, and a new plan lineup.

Plans

  • Plans are now Starter, Pro, Business, and Enterprise, with AI sold as separate add-ons. See pricing.

Point of sale (Pro)

  • Counter sales with a cash drawer.
  • Receipts with your own header and footer text, sent by email or text, with a delivery history. Texts need an SMS plugin, such as Twilio.
  • Sale discounts need a reason.

Appointment booking (Pro)

  • A booking widget for your website, with availability by service.
  • Onsite appointments: choose which technicians can be booked onsite, set onsite hours, and offer arrival windows.
  • Cloudflare Turnstile bot protection on the booking form.
  • Optional mileage tracking for appointments, with approval.

Time clock (Pro)

  • Staff clock in with a PIN.
  • Owners and managers approve timesheets, add manual entries, and edit time with a reason.
  • Overtime, double time, and break calculations, with flags to review for state rules such as California meal and rest breaks.
  • Payroll CSV export formatted for QuickBooks, Gusto, ADP, or Paychex.

Intake and tickets

  • A consent step at check-in, signed by the customer. Shops can edit the terms.
  • Intake photos by upload, webcam, or a phone that scans a QR code. Two photos are required unless staff give a reason to add them later.
  • Email the customer their intake receipt, with the portal link, in one click.
  • Customer sources, with a report of new customers, tickets, and paid revenue by source.
  • Technicians add diagnostic photos from their phone by scanning a QR code.
  • Quality checks record photo evidence: at least one photo and an outcome.
  • Log phone calls on a ticket.
  • Runbooks on a ticket: follow knowledge base articles as steps, record the diagnosis and fix, and see similar past repairs.
  • Reminders for yourself, a teammate, a role, or the ticket's technician.
  • Better ranking in global search.

Quotes, parts, and payments

  • Revise a quote after it's sent, and the customer approves the new version.
  • Parts on an approved quote go to a Parts to Order queue for the shop's purchaser.
  • Carrier and tracking numbers on parts orders. Live tracking needs the EasyPost plugin and your own EasyPost account.
  • Take a deposit and let the customer keep the device while parts are on order.
  • One tax setup per shop, applied to quotes, POS sales, and builds.
  • A parts margin report.

Customer portal

  • Customers confirm the email or phone number on the ticket before they can see quotes, messages, or payments.

Security and backups

  • Passkey sign-in for staff.
  • Backups now carry integrity checks. Owners can request a restore, and our team carries it out with safety checks.

AI

  • OpenRouter joins the bring-your-own-key providers.
  • Fallback chains: if a provider fails, the task moves on to the next model you've chosen.

Knowledge base, System Builder, reports, and plugins

March added breadth: a shop knowledge base, custom PC builds, tags, day and tax reports, two-factor sign-in, and a marketplace of first-party plugins.

Know-how at the bench

  • A knowledge base with version history and tags. With an AI add-on, technicians can ask it questions and get answers drawn from your own articles.
  • iFixit repair guides alongside tickets, with monthly lookup limits by plan.
  • System Builder for custom PC builds, with socket, wattage, and form-factor compatibility checks and saved templates.

Organize and report

  • Tags on tickets and customers, rules that apply tags for you, and a tag filter on the Kanban board.
  • Day, sales, sales tax, and payment reports, with PDF and CSV exports on key reports.
  • Expanded analytics. Advanced analytics come with Pro, and location comparison with Business.
  • Built-in PDF ticket labels, printed one at a time or in batches from the board.

RepairOps started with the path every repair takes through a shop. Everything since has been built on it.

Repair workflow

  • A 14-status workflow from check-in to pickup, with required steps between stages.
  • A Kanban board with columns you can arrange, plus a ticket list, a customer directory, and global search.
  • A ticket page with the full timeline, status changes, and technician reassignment.

Check-in to pickup

  • Intake that records the customer, the device, and the reported problem.
  • A diagnostics workspace and a service catalog for common jobs.
  • A quote builder. Customers approve or decline the quote on a secure portal link, with an optional signature.
  • A quality check before a repair can be marked ready for pickup.
